Ensuring long-term access to our academic resources

Commitment to Preservation

Entropía Educativa is committed to ensuring the long-term preservation of all digital resources published in our repository. We recognize the importance of maintaining permanent access to academic knowledge for future generations.

Preservation Strategies

  • Multiple backups: Daily, weekly, and monthly backups on redundant servers
  • Distributed storage: Copies in multiple geographical locations
  • Integrity check: Checksums and periodic file validation
  • Format migration: Proactive update to standard formats when necessary
  • Continuous monitoring: Automated supervision of file integrity

File Formats

We use standard and open formats to maximize longevity and accessibility:

PDF/A: Preferred format for text documents (ISO 19005)

XML: For metadata and structured content

JPEG2000: For high-quality images

UTF-8: Standard character encoding

Preservation Metadata

We maintain complete metadata for each resource:

  • Dublin Core: Standard descriptive metadata
  • PREMIS: Preservation metadata (events, agents, rights)
  • MD5/SHA-256 Checksums: For integrity verification
  • Version history: Record of changes and migrations

Persistent Identifiers

All resources have permanent identifiers:

  • ARK (Archival Resource Key): ark:/59515/lib[ID]
  • ISBN: For published books
  • Canonical URLs: Stable and predictable URL structure
  • OAI-PMH identifiers: oai:entropiaeducativa.org:type:ID

Contingency Plan

In case of catastrophic events:

  • Off-site backups in the cloud (AWS S3, Google Cloud)
  • Preservation agreements with allied institutional repositories
  • Documented disaster recovery procedures
  • Periodic backup restoration tests

Technological Obsolescence

To mitigate obsolescence:

  • Monitoring of emerging standards and formats
  • Proactive migration to new formats when necessary
  • Maintenance of multiple versions (original + migrated)
  • Complete documentation of migration processes

Responsibilities

Entropía Educativa assumes responsibility for:

  • Maintaining the necessary technical infrastructure
  • Updating software and hardware regularly
  • Training staff in preservation best practices
  • Reviewing and updating preservation policies annually
